About the Role
The Saint John Henry Newman School is seeking to appoint a highly organised, diligent and professional Exams Officer to lead the administration, organisation and smooth running of all internal and external examinations. This is a key operational role within the school, requiring exceptional attention to detail, absolute confidentiality and the ability to work calmly and accurately to strict deadlines. The successful candidate will play a vital role in supporting pupils, staff and parents, ensuring that all examinations are conducted in full compliance with awarding body regulations.As a Catholic school, we are committed to nurturing the whole person. Overview of the Role
The Exams Officer is accountable to the Governing Body through the school’s line management structure and has overall responsibility for the effective administration of public and internal examinations. This includes managing exam entries, timetabling, invigilation, access arrangements, results and post-results services. Working with minimal supervision, the postholder will oversee a complex and varied workload, ensuring accuracy, compliance and best practice at all times. The role also includes line management responsibility for the Deputy Exams Officer and the invigilation team.
In addition, the post includes responsibility for undertaking two 30-minute lunchtime supervision duties.
Key Responsibilities
Administration of Examinations
The Exams Officer will be responsible for:
- Managing exam entries, amendments and withdrawals with awarding bodies
- Receiving and processing payments for resits and post-results services
- Checking and reconciling awarding body invoices
- Enforcing awarding body regulations and deadlines
- Monitoring the receipt, secure storage and distribution of examination materials
- Publicising exam information and responding to enquiries from pupils, parents and staff
- Administering coursework and standards verification submissions
- Timetabling internal and public examinations, including clash resolution
- Booking and preparing exam rooms and ensuring appropriate invigilation cover
- Recruiting, training and managing invigilators, liaising with HR on DBS, safeguarding training and pay
- Liaising with the Learning Support Department regarding access arrangements
- Submitting applications for access arrangements and special consideration
- Distributing examination results and certificates
- Managing post-results services and university admissions tests
- Keeping up to date with changes to examination regulations and requirements
- Initiating and developing new systems in response to changes in examinations
