Job Profile: Finance & Purchasing Assistant

Purpose: To serve the mission of Salesian School by undertaking specific finance support duties for the school finance office, which is part of the wider school administrative support team. To ensure efficient and effective administration in all areas of responsibility. To provide support and care for students.

Contract & Salary: Permanent position. Term time + 1 (40 weeks a year), 36 hours a week. Part-time applications will be considered. Pay scale SP5 (21,943 – 24,184

Responsible to: Finance Manager.

Person Specification

• Commitment to supporting the distinctive nature of a Catholic school

• Good levels of literacy and numeracy

• Experience of procedures for a range of general office activities

• Some knowledge of a range of financial procedures, including order and invoice processing

• Competence with a range of standard ICT packages including Microsoft Word and Excel

• Previous experience of using a financial system would be an advantage

Responsibilities

Finance Office Support

• Undertake a range of financial procedures, including obtaining quotations, raising purchase orders, placing orders with suppliers, processing and coding invoices, operating Tucasi (online parent payment software), carrying out general financial administration and scanning/filing documents.

• Raising supplier purchase orders on behalf of the Head Teacher, Departmental Heads or the School Business Manager as directed

• Leading on curricular and administrative supplies procurement, obtaining quotes, ensuring value for money is achieved and that orders are fulfilled in a timely manner

• Processing invoices received and ensuring they are correctly coded and appropriately authorised

• Raising sales invoices to other schools and external organisations

• Dealing with and resolving telephone or email enquiries from parents, suppliers or colleagues

• Banking including counting cash/cheques, reconciling to Tucasi and making trips to the bank as required

• Administering petty cash

• Collating paperwork for credit and debit card transactions

• Daily checking of Finance email account and distribution to team members

• Compliance with School and Trust finance policies and procedures.

General Duties

The position is based within a busy school split across 2 sites. The post holder will also be expected to perform general administrative functions as defined and directed by line manager, some of which are listed below:

• Produce lists, information and data as requested by staff or external agencies

• Assist with arrangements for school trips, visits and events

• Provide general administrative support to the School as required

Pastoral Care

• To deal with or report, to the nearest member of the teaching staff, incidents which are seen or reported regarding students’ welfare

Continuing Professional Development

• To take responsibility for personal professional development, in conjunction with the line manager, keeping up-to-date with developments related to school efficiency, which may lead to improvements in the day-to-day running of the school

Other

• To undertake any other duties, commensurate with the grade, as reasonably requested.
